Choosing class scheduling software as an independent instructor
Most scheduling tools are built for studios that own their booking, payments, and members. Independent instructors have a different problem: the classes live in several studio systems, and nothing represents the instructor across all of them.
Decide whether you need booking or presentation
If the studios you teach at already take bookings and payment, adding a second booking system creates duplicate records and confused students. What you need instead is a single presentation layer that lists every class and links out to whichever system owns it.
If you also run your own private sessions, you may need booking for those specific classes only — keep the studio ones as links.
Checklist for evaluating a tool
- Recurring classes with per-occurrence edits and cancellations
- One permanent public URL you keep if you change studios
- Direct outbound links to each venue's booking page
- A student list you own, with consent recorded
- Shareable class assets and QR codes for offline capture
- Clear pricing that does not scale with someone else's members
What to skip
Full studio management, staff payroll, retail inventory, and membership billing are studio problems. Paying for them as a solo instructor adds setup work without adding students.
Portability matters more than features
Instructors change venues. The asset that compounds is the audience and the URL they know. Choose the tool where both survive a studio change, even if it has fewer features on day one.
Frequently asked questions
- Do I need scheduling software if my studio already has one?
- Not for booking. You still need one place that shows all of your classes across every venue, because studio systems only show their own.
- Can I keep my student list if I leave a studio?
- Only if the list is yours. Studio systems generally treat members as studio contacts, so build your own consented follower list alongside them.
- What does LedBy do differently?
- It focuses on the instructor layer: one public profile, recurring schedule, shareable class links and QR codes, and a followed audience you keep, while bookings stay with the studio that owns them.
